Financial Policy

Payment for our services is your responsibility, regardless of your insurance coverage. We participate with many of the insurance plans in the area. Our front office can assist you in verifying your clinician's participation with your plan. We recommend that you also confirm this with your insurance carrier. Co-payments and deductibles are to be paid at time of service and will be collected upon check-in and registration. We will file all insurance as a courtesy, however, please be prepared to pay charges at the time of service, if your clinician is not contracted with your insurance plan. We want to thank you for choosing Behavioral Health Specialists, Inc. to assist you. If you have any questions, please don't hesitate to contact our front office or your clinician at (913) 906-9559.

Professional Fees

There is a set fee for the initial assessment and then an hourly, 45 minute or 30 minute rate for therapy. Co-pays will vary according to your insurance plan. We will make every effort to get accurate information from your insurance company as to co-pay amounts and deductibles. There is a discounted rate for those who choose to self pay. Our office staff will be happy to provide specific cost amounts for the various services. Other services include report writing, telephone consultations (lasting longer than 10 minutes), school meetings, consulting with other professionals with your permission or at your request, preparation of records or treatment summaries, and time spent performing any other services you may request of your clinician. If you become involved in legal proceedings that require the clinician’s participation, you will be expected to pay for his or her professional time, including preparation and transportation costs, even if the clinician is called to testify by another party. Fees for these services are higher than the fees mentioned above and should be reviewed with the clinician prior to his or her involvement.

Appointments and Cancellations

Appointments for new patients are made over the phone by calling (913) 906-9559 and existing patients may also call or may utilize the Patient Portal. If you are a new client to BHS, you will be directed to set up a Patient Portal account where you can download and submit our complete client registration paperwork. Otherwise, please arrive 20 minutes prior to your appointment time to allow our front office to collect your insurance information and for you to complete the client registration paperwork. Please bring your current insurance card with you if you are going to be using insurance. Please bring any appropriate records from previous evaluations to facilitate your appointment. (e.g., school records, previous testing.) If they are lengthy, please send copies for the clinician to review prior to the appointment, in order to leave plenty of time to meet with the clinician. Appointments typically last 45-50 minutes; some clients schedule 30 minute appointments. Appointments for testing may last 2 hours or more. We require a credit card number to secure all new appointments. Cards are charged a minimum of $50 for "no show" appointments and for cancellations or reschedules with less than 24 hour notice. Please note that cancellations or reschedules for Monday appointments must be made before 12pm the prior Friday. Your appointment time has been reserved for you, and is a significant time commitment made by you and your clinician to help meet your needs. If you need to cancel or change an appointment, we ask that you call 24 hours in advance in order to allow the clinician to schedule someone else. It is important to note that insurance companies do not provide reimbursement for cancelled sessions.

Case Records

Letters and clinical reports will be completed at your request with your written authorization. A fee may be charged for this service. Please allow for seven to ten business days and up to 30 days if needed, when requesting a release of records. Records pertaining to a minor child require the written consent of a parent or legal guardian. Your record is considered confidential; information is never released without your written authorization.
